A large enterprise company operated the CRM and stored a full customer database with real email addresses and phone numbers, accessed daily by internal teams, contractors, and third parties.
Protecting customer contact data was critical due to financial, legal, and reputational risks.
Challenge
Storing real email addresses and phone numbers directly in the CRM created a high risk of data leakage caused by human error, excessive access rights, contractors and third-party integrations, data exports and email forwarding.
Solution
Performers Group designed and implemented a MailProxy / Contact Masking Service acting as a secure communication gateway between the CRM, email systems, and external clients.
The system replaces all real contact details with globally unique fake identifiers while preserving fully functional communication.
- Real email addresses and phone numbers are never stored in the CRM
- Each real contact is mapped to a unique fake email and fake phone number
- Employees see and use only fake contacts inside CRM and email clients
- Outgoing emails sent to fake addresses are transparently rerouted to real recipients
- Incoming replies are automatically remapped back to fake identities
- Phone calls resolve fake numbers to real ones via API integration
The solution ensured that all internal systems, logs, exports, and third-party copies contained only masked data. Access to real contact data is restricted and available only to authorized administrators for a limited time.
